Since our inception we have been a flexible & remote friendly workplace that has transparent communication with all members of our team.

We have composed a series of templates related to both policy and communications that we hope can help organizations looking to transition to a remote work model and better communicate with employees during times of uncertainty.

Flextime and Telework

Prior to COVID-19, Casebook PBC had already designed and implemented a set of policies created to improve work-life balance and increase employee happiness. We have provided templates of our policies below.

Our flextime and telework policies permit our employees to enjoy a flexible work schedule as well as telework benefits. We were able to implement both because we had developed a culture of communication across multiple technologies (Slack, Google, Confluence, Trello and other collaborative tools), and because these policies were enacted with the requirement that both sides be adaptable in order to make sure that both Casebook PBC and our employees could benefit from such flexibility.

Since we understand that some companies were not familiar with flexible schedule or remote work cultures prior to the current public health issue, we wanted to share our policies.

These approaches have enabled Casebook PBC to provide our employees with better manage work/life balance and accomplish their work in a manner that minimizes certain stressors and distractions. While the specific requirements and permissions that we’ve embraced might not work for every company, we hope that they can provide some ideas about what to consider as companies design their own internal protocols.

Business Continuity Plan

Prior to COVID-19, Casebook PBC had already designed a Business Continuity Plan, detailing our operational contingencies in a range of emergency issues. We have provided a template of our this plan below.

In addition to the Flextime and Telework Policies, we also have a a business continuity plan readily available.

This plan complements our existing policies and builds off of our flexible work culture to enable our company to stay fully functional during a range of emergencies and other issues. We’ve decided to share this document as well, to show how our business communicates how our employees should respond in a number of situations impacting normal operations, in order to maintain a continuity of business functions and critical service delivery to our customers.

Internal Messaging

Casebook PBC regularly communicates with employees regarding important business updates, as well as how company policy updates and benefits can assist them during this time. We have provided templates of our messaging below.

Even before our office closed, we were messaging out on an at-least weekly basis, keeping employees informed about how we intended to address the COVID-19 outbreak if it impacted our communities, as well as reminding them that even before any type of formal closure, that there were a range of precautions, benefits and policies that they could take advantage of to protect themselves and their loved ones.

After the office closed, we have committed to frequent messaging to our employees to both keep them informed about work-related developments and express our support for them during this difficult time. These messages reminded them of existing resources, as well as special accommodations given the health crisis and stay-at-home orders:
